Privacy Policy
Your privacy matters to us. This Privacy Policy explains how we collect, use, share, store, and protect personal information when you use PoolHyve. By using the Services, you acknowledge this Policy. If you do not agree, do not use the Services.
Key points
- We collect the information you give us, plus limited device, usage, and payment-processing data needed to run the product.
- We use that information to operate accounts, billing, routes, service reports, support, and launch communications.
- We share information with processors that host, authenticate, bill, email, or measure the Services, not by selling it for money.
- You can request access, correction, or deletion through support@poolhyve.com or our account deletion page.
1. Scope and product status
This Policy covers the marketing site, waitlist, web dashboard, mobile apps, and APIs we operate. It does not control privacy practices of third-party sites we link to.
Public self-serve signup can be closed while we are in pre-launch. During that period the public surfaces are the waitlist and marketing pages, and product accounts are limited to authorized users. When self-serve signup opens, this Policy continues to apply to those accounts.
2. Information we collect
2.1 Information you provide
- Waitlist details: email, optional first name, optional company name, source, and optional marketing opt-in.
- Account profile details: name, email, phone, role, company name, and related onboarding answers.
- Business records you enter: customers, properties, routes, schedules, work orders, notes, pricing, and invoices.
- Service-report and work-order content, including photos you capture or upload.
- Support and sales messages sent to support@poolhyve.com or onboarding@poolhyve.com.
2.2 Information collected automatically
- Device, browser, IP, and request metadata used for security, debugging, and analytics.
- Public-site analytics events through Google Analytics, Vercel Analytics, and Speed Insights.
- Approximate location inferred from IP or map interactions when you use Google Maps features.
2.3 Mobile and offline data
- The mobile app may store operational records in on-device SQLite so technicians can work offline.
- Photos may be stored on the device until they upload to our storage provider.
- Auth sessions are persisted on the device so you stay signed in.
- Signing out is designed to clear local offline caches and stored photos.
2.4 Payment information
Subscription and customer-payment flows use Stripe. Stripe may collect identifiers about the devices that connect to its services for fraud prevention and to operate checkout. We do not store full card numbers on our servers. See Stripe's Privacy Policy.
3. How we use information
We use personal information to:
- Provide, operate, secure, and improve the Services.
- Create and authenticate accounts and apply role-based access.
- Process SaaS subscriptions and, when you enable it, end-customer invoicing through Stripe.
- Send transactional messages such as service reports, billing notices, and security alerts.
- Manage waitlist enrollment and, if you opt in, marketing updates.
- Respond to support requests and prevent fraud or abuse.
- Comply with law and enforce our Terms of Service.
4. How we share information
We do not sell personal information for money. We share information with processors that act on our instructions, when required by law, to protect rights and safety, or in a merger, financing, or sale.
Current processor categories and examples:
- Infrastructure, authentication, and storage: Supabase.
- Payments and billing: Stripe.
- Transactional email: Mailgun.
- Waitlist and optional marketing automation: Sender.
- Public-site analytics: Google Analytics and Vercel Analytics.
- Maps: Google Maps.
- Hosting and delivery: Vercel.
If you post content in a shared workspace, other users in that company can see it. You are responsible for the homeowner and employee data you store in PoolHyve.
5. Cookies and analytics
We and our providers use cookies and similar technologies for sign-in, security, and analytics on the public site. You can limit cookies in your browser. Some features may not work if cookies are blocked. The Services are not designed to respond to browser "Do Not Track" signals. You can review Google ad settings at adssettings.google.com.
6. Data retention
We keep personal information while your account is active and as long as needed to provide the Services, maintain backups, prevent fraud, resolve disputes, and meet legal or tax obligations.
- Waitlist records: until you unsubscribe or we close the waitlist campaign, then for a commercially reasonable archive period.
- Account and operational records: for the life of the company workspace, plus a limited period after deletion or closure.
- Billing records: as required for tax, accounting, and payment-network rules.
- Support correspondence: as needed to complete the request and keep a security audit trail.
7. Security
We use administrative, technical, and organizational safeguards, including encrypted transport in production, authenticated APIs, and tenant-scoped database access. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.
8. Your choices and rights
8.1 Marketing
- Waitlist marketing is optional. You can unsubscribe from marketing emails using the link in those messages.
- We may still send transactional or account-critical messages.
8.2 Access, correction, export, and deletion
Email support@poolhyve.com to request access, correction, a copy of your personal information, or deletion. Use the dedicated account deletion page for a step-by-step request.
We currently handle these requests through support rather than a fully self-serve export or delete API. We will verify the request and aim to complete verified deletion requests within 30 days, unless a longer period is allowed or required by law.
8.3 U.S. state privacy rights
Residents of certain U.S. states, including California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, and Virginia, may have rights to know, access, correct, delete, or obtain a copy of personal information, and to opt out of targeted advertising, sale, or certain profiling, subject to verification and legal exceptions. The exact rights vary by state.
California residents may also request information about disclosures to third parties for those parties' direct marketing under California Civil Code section 1798.83. We do not sell personal information for money. To make a state-rights request, email support@poolhyve.com.
9. Children's privacy
The Services are for business users. They are not directed to children under 13, and we do not knowingly collect personal information from children under 13.
10. International transfers
We operate in the United States. If you access the Services from another country, your information may be processed in the United States and in other countries where our providers operate.
11. Changes
We may update this Policy and will post the new version with a revised Last Updated date. Material changes may also be announced by email or in-product notice. Continued use after an update means you accept the revised Policy.
